The label sets the framework for managing the collections. The plugin and the database make it operational — without parallel paperwork.

Decennial collection audit

Law no. 2002-5 — art. L451-2 CP

Every item, every ten years.

The inventory entry, the marking and the physical presence of every item must be checked at least once per decade. In CollectiveAccess: campaigns by site / by store / by parent authority, an inventory-check sheet per work, automatic generation of the report, follow-up of discrepancies.

Statutory inventory

Order of 25 May 2004

One line, one item, immutable.

Three-segment numbering (year.lot.object), marking and computerised register compliant with SMF standards. The plugin locks the inventory line as soon as it is recorded: the regulated fields cannot be edited after the fact — the history is what counts.

Register of deposits

Decree no. 2002-852 — art. D451-23

Incoming, outgoing: traced.

Separate registers for incoming deposits (from another museum, the State, a sale-deposit) and outgoing deposits. Tracking of agreements, deadlines, loan conditions, condition reports on entry and exit.

Heritage dissemination

National open-data commitment

POP, Joconde, regional portals.

Mapping to POP/Joconde nomenclatures, standards-compliant exports (XML, structured CSV), scheduled feeds to regional portals. Records stay edited inside CollectiveAccess; dissemination is derived — a single source of truth.

Six typologies.

A dedicated plugin built to generate computerised inventory registers compliant with SMF standards, organise inventory-check reports, and maintain the registers of acquired and deposited items. Once an object is recorded, its inventory line becomes non-editable — as the regulation requires.
